Tailor-made innovative access control for Allseas

How do you efficiently and flexibly ensure access security and compliance on a global scale? With this challenge, international offshore company Allseas knocked on YIM's door a few years ago. YIM, a specialist in identity management and access control, in collaboration with Nsecure, developed a solution that fully met Allseas' complex needs.

Compliance across national borders

Allseas is an international player in complex offshore projects and works for major clients worldwide, including oil and gas companies. ‘As soon as you board one of our vessels, you actually step across the border,’ explains Alain Cras, Vessel Manager at Allseas. This means that the company constantly has to deal with different laws and regulations in each country where it operates. "Our head office is in Switzerland, and we are currently working on projects in Norway, Asia and Mexico. For maintenance work, we often return to the Netherlands. As soon as a ship enters the port of Rotterdam, for example, we are immediately subject to Dutch regulations. And for extensive work, such as the completion of the ‘Pioneering Spirit’ on the Maasvlakte, ships can even be classified as construction sites - which entails very different rules."

Efficiency in access control

Carefully organising access control for international offices, shipyards, ships and manufacturing sites is a complex administrative process. For example, employees, visitors and contractors had to be able to be registered quickly and securely, with insight into whether they had the right certifications. However, the then existing access control system was outdated and not suitable for scalable implementation at other locations, such as the offices in Delft, Switzerland and Belgium. In addition, the system had to be flexible enough to efficiently manage large visitor flows - up to hundreds of contractors per day. A link to Allseas' ERP system for time recording was an essential part of the requirements.

"Previously, registration per person took around two to three hours. Now, with the solution provided by YIM, pre-registration on site takes only ten minutes, ‘ said an Allseas representative. "YIM's platform combines compliance and access control processes in one seamless system. This has saved us not only time but also significant costs."

According to Alain, the system also has a positive impact on other issues, such as targeted procurement and working at a high level of security. ‘We know exactly how many people are at a location at what time. This allows catering to buy in a much more targeted way. The system also provides support in case of emergencies. We have already conducted a safety drill a few times and then know exactly whether everyone is off board or whether we need to send a search team.’

Valuable results

Working with YIM has brought several benefits to Allseas:

  • Efficient registration: The registration process with contractor management has been accelerated from several hours to just 10 minutes per person.
  • Tailored compliance: Thanks to the integration with the ERP system, there is full control over certifications and time recording.
  • Flexibility and scalability: The plug-and-play system allows for quick implementation in both fixed locations and mobile workplaces, such as the Pioneering Spirit.
  • Cost savings: Reduced registration processes (from 2-3 hours to 10 minutes) and more efficient workflows have saved Allseas significant costs.
  • Safety assured: Real-time visibility of people present contributes to a high level of safety, both onshore and offshore.

‘Working with YIM has taken our processes to the next level,’ concludes Alain. ‘It is an innovative and reliable partner that always thinks along about how to do things better.’ A solid foundation that fits Allseas' future perspective and requirements around uniformity, safety and laws and regulations.

Largest working vessel in the world

In addition to a solid basis for Allseas‘ sites, Nsecure was asked to help think about a flexible solution for the “Pioneering Spirit”: Allseas’ largest working vessel in the world. The Pioneering Spirit is 382 metres long and 124 metres wide, comparable to eight football fields. The ship is used worldwide to remove and install oil and gas platforms and lay pipelines.  When the ship docks in a port for maintenance or project preparation work, large numbers of people have to get on and off board to work in a short period of time. It is then imperative that these access flows are controlled.

Plug & play contractor management in sea containers

In addition to Allseas' fixed locations, a flexible solution was also developed for the Pioneering Spirit, the world's largest work vessel. With its length of 382 metres and width of 124 metres, the ship acts as a floating workshop for offshore projects. When the ship docks for maintenance or project preparations, large numbers of people have to be able to board and disembark in a controlled manner in a short time.

To support this process, a plug-and-play system was developed, built into two custom-made sea containers. These containers are equipped with turnstiles, a security logo, passport scanners and other technical features, such as air conditioning and lighting. "A flexible plug-and-play installation, it is praised in the industry during overhauls and shutdowns. The solution for Allseas has been deployed on several occasions and provided quick and controlled registration of all contractors and employees. This solution has proven its services and, due to its flexibility, helps regulate visitor flows quickly and efficiently", Allseas said.
